Meet the captaın and the crew!

Organising Committee (OC) for Pirates of the Baltic Sea (PoBS) is a team under National Events Committee (NEvCo) of ESN Finland. Crew is not limited to international students in Finland, members are chosen from all the ESN countries.

Who does what?

o   Head of OC (Captain) working under National Board:

Previously named vice-chair for PoBS in NEvCo, so called National Cruise Coordinator, takes responsibility of PoBS for a full mandate (2 editions) in all matters. Responsibilities include building the team, managing all aspects of the cruise, communicate with all external partners to make the event as good as possible, while reporting back to the National Board, and making sure everthing related to PoBS is in order. Takes care of project administration, team management, arranging team meetings, budget management, contact with main event partners, and representing the PoBS team within the network. 

o   Program Team Lead working under Head of OC:

Takes responsibility of the programme team completely. They can have partial independence within the team to have a personalized system for team efficiency, and only follow general guidelines from the Head of OC. Responsible for the motivation and performance of the team, as well as covering for the missing work (i.e. if any coordinator fails do deliver, team lead has to take the tasks on themselves). All activities during the cruise (including boarding entertainment, opening ceremony, Funland sales, etc.) are their responsibility.

o   Volunteer Team Lead working under under Head of OC:

Takes responsibility of the volunteer team completely. They can have partial independence within the team to have a personalized system for team efficiency, and only follow general guidelines from the Head of OC. Responsible for the motivation and performance of the team, as well as covering for the missing work (i.e. if any coordinator fails do deliver, team lead has to take the tasks on themselves). All volunteers before and during the cruise (including section coordinators, group leaders, media team, etc.) are their responsibility.

o   Communication Team Lead working under under Head of OC:

Takes responsibility of the communication team completely. They can have partial independence within the team to have a personalized system for team efficiency, and only follow general guidelines from the Head of OC. Responsible for the motivation and performance of the team, as well as covering for the missing work (i.e. if any coordinator fails do deliver, team lead has to take the tasks on themselves). All communication before, during, and after the cruise (including public, partners, participants, etc.) are their responsibility.

o   Program Coordinators working under Program Team Lead:

Takes responsibility for the assigned amount of activities during the cruise and makes sure they are carried out smoothly.  Before the event, focuses on the creation of the program for PoBS (both further development of the current program and the implementation of new ideas). Helps the activity facilitators when needed and explains them all tasks and practicalities related to the activity before and during cruise.

o   Volunteer Coordinators working under Volunteer Team Lead:

Responsible for keeping track of the section volunteers who help with the activities during the cruise, collecting the volunteer contracts and helping the volunteers in anything they need during the cruise. Responsible for helping to choose the performers and media team, being their contact person, collecting their volunteer contracts and any information team needs from them in a timely manner.

o  Design Coordinator working under Communication Team Lead:

Create all the graphics for the promotion and communication of PoBS as well as the designs needed for the merchandise and any other graphics needed including social media posts and stories.

o   Customer Service Coordinator working under Communication Team Lead:

Answers any questions related to PoBS either from the exchange students or from the ESNers attending these events that come to our PoBS email. Respond to customers’ requests and needs, be the main point of contact between students and NEvCo.

o   Social Media Coordinator working under Communication Team Lead:

Create a social media plan with NEvCo and follow it throughout the planning period. Make sure that Facebook, Instagram and other social media accounts all have the correct information and make posts following the social media calendar agreed with the team.

o   Partnership and Merchandise Coordinators working under Communication Team Lead:

Seek new partners and sponsors for PoBS, update the team regarding the current sponsorship agreements. Handle the communication and deals with partners. Seek opportunities to make it more environmentally sustainable.
